Media Loans Rental Policy
Applicable to students registered in the School of Contemporary Media, programs:
Broadcasting Television & Film Production
Advanced Filmmaking
Visual Effects & Editing
Advanced Live Digital Media Production

1. Reservations/Checkout
One ( 1 ) Camera per person only.
48 hour maximum checkout time excluding weekends, minimum interval time between reservations; 24hrs
Weekend reservations are pickup Thursday or Friday, return Monday. Excluding long weekends
Unless Media Loans is notified in advance by the student, only the person who made the reserve
ation may checkout the reservation.
Only the person who made the reservation may cancel or transfer ownership of a reservation.
2. Reservation Pick-Up Grace Period
Reservations will be held for no longer than 12 hours after the designated pickup time.
Once the grace period has expired, the reservation will be automatically cancelled making the equipment available to others.
Please ensure you show up on time or call to change the pickup time if you are going to be late.
3. SD Cards
Media Loans DOES NOT supply any type of SD card. Students must supply their own for any device that requires an SD card.
4. Shooting Video On Campus
All students/crew members involved in a video shoot OUTDOORS ON CAMPUS must wear a safety vest. Safety vests can be checked out along with your equipment from Media Loans.
It is the students’ responsibility to ensure they check out and wear a Safety Vest at all times when shooting OUTDOORS ON CAMPUS.
5. Reservation Cancellations Due to Damaged Equipment
All attempts will be made to substitute any equipment available to avoid cancelling a reservation.
6. Media Loans Closure
In the event the office must close during operating hours, a notice will be sent out and posted on the office door.
We will do our best to arrange alternative pick-up and return times for students who need it.
7. Stolen or Lost Equipment
Immediately contact the Security Department to report theft or loss. This is required to validate loss or theft.

Copy of security report to be submitted to Media Loans within 24 hours of reporting.
The College reserves the right to review the situation and determine the appropriate course of action based on negligence or criminal activities.
8. Fines for Late Equipment
The return time listed on each checkout is the return time. Beyond this time a checkout is considered late. If equipment is returned late, regardless of whether it has caused a delay or cancellation for another student, a fine will be given according to the following:
Late return of a camera: $50.00 + an additional $50.00 for every consecutive 24-hour period. The 24-hour period will be calculated from the return time on the original checkout.
Late return of all other equipment: $25.00 per item + an additional $25.00 per item for every consecutive 24-hour period. The 24-hour period will be calculated from the return time on the original checkout.
Appeals of late fees or fees resulting from loss or damage to equipment must be made in writing to the Associate Dean, School of Contemporary Media. An appeal may be initiated no later than seven business days from the time the student becomes aware, or should have become aware, of a fee being levied. Media Loans staff do not have the authority to grant appeals.
9. Fines for Lost or Damaged Equipment
All items in a checkout are the responsibility of the student, including all accessories.
When items are returned damaged or lost, there will be a minimum charge of $50. If the cost to repair or replace the item exceeds $50, the student will be responsible for covering the entire cost.
10. Loss of Loans Privileges for Late Return, Lost, Stolen, or Damaged Equipment
1st offence: Loss of loan privileges for 1 week.
More than 1 late return: Loss of loan privileges for 2 weeks.
Transferring equipment between students is not advised. The person who signed the checkout agreement will be held accountable for missing, damaged, or late returns.
Abuse of equipment, loan privileges/policies, and/or loan personnel will result in the immediate loss of loan privileges.
All loan records will be made available to your course professors and any and all failures to comply with loan policy will be considered when evaluating professional work habits.
Loan privileges will only be reinstated once the student has arranged a meeting with their Coordinator to appeal their suspension of loan privileges. The Coordinator will then inform the loan office of the student’s status.
Fines/charges are collected via an invoice from the Registrar's Office, not by the Media Loans Office.
If a student loses Media Loans privileges, they are required to consult with their program coordinator to meet the assigned project deadlines.
